Credit notes and cancellations

Overview

A faulty invoice, a justified complaint, a goodwill gesture: in Kyvento you correct invoices in a GoBD-compliant way via cancellation documents – never by editing or deleting a finalized invoice. Refunds run either as customer credit, manually, or directly via the payment provider.

Creating a cancellation

On the invoice detail page you start via "Cancel" – either as a full or partial cancellation (only certain line items/amounts). Kyvento creates a standalone cancellation document with its own number range and its own template ("Settings" → "Templates" → "Cancellations"); the original invoice remains unchanged and is linked to the cancellation.

Cancelling an unpaid invoice

For open invoices without an incoming payment, the cancellation is a simple step: create the document, done – the receivable is neutralized and dunning stops for this invoice. (If a manual collection attempt is currently running, Kyvento first requires it to be completed.)

Cancelling a paid invoice – with a refund choice

For (partially) paid invoices, you choose in the cancellation dialog how the customer gets their money back:

  • "Increase customer credit" – the amount moves to the customer's credit balance and is automatically offset against the next invoices. Ideal for ongoing subscriptions.
  • "Manual refund" – you transfer the money yourself and document it this way.
  • "Refund via payment provider" – Kyvento triggers the refund directly with Stripe, Unzer or PayPal.

An accidental cancellation can be undone via "Revoke cancellation" – including reversing a credit refund.

Credit notes and customer credit

There is deliberately no separate credit note document – the tax-correct "commercial credit note" is the cancellation document. For goodwill without a reference to an invoice, use the customer credit directly on the customer ("Top up credit" / "Adjust credit"): it is automatically offset against the next open invoices – the oldest first.
