Invoice texts and languages

Overview

From the welcome text to the reverse charge note: Kyvento cleanly separates freely designed text blocks from statutory mandatory notes – and delivers both automatically in the customer's language.

Free text blocks per template

In each invoice template ("Settings" → "Templates" → "Invoices") you maintain six text fields:

  • Header text – e.g. a personal introduction above the line-item table
  • Footer text – a closing line below the totals block
  • Payment note – such as early-payment discount or bank transfer details
  • Closing text – a sign-off
  • Reverse charge text and small-business text – your own wording for these special cases, if you want to deviate from the default

Statutory mandatory notes

Tax-related mandatory notes – reverse charge (Section 13b), intra-Community supply (Section 6a), the small-business regulation (Section 19), export, OSS – are set by Kyvento automatically to match the tax scenario of the invoice. You can replace the default texts account-wide with your own wording; on finalization, the text is frozen immutably into the invoice – later text changes only affect new documents.

The customer's language

The decisive field is "Language" in the customer profile (German or English, falling back to the account language):

  • Kyvento automatically selects the default template for the customer's language – an English-speaking customer receives "Invoice" with English field labels.
  • If you select a template in a different language for a manual invoice, the form warns you about the language mismatch.
  • The mandatory notes are also frozen in the customer's language.

The invoice email

You design the subject and content of the delivery emails under "Settings" → "Email templates" (the "Invoices" group) – separately for automatic delivery ("Invoice delivery") and manual delivery from the detail page. Placeholders for the customer, the invoice and your company are available.
