Customizing invoice design

Overview

Your invoices are your business card. With the template system you design the logo, colors, font and layout – all the way to a free-positioning editor. For each document type (invoice, cancellation, quote, order confirmation) you manage your own templates.

Template management

Under "Settings" → "Templates" section → "Invoices" you'll find your invoice templates – the system templates "Rechnung — Standard" (DE) and "Invoice — Default" (EN) are included. For each template you have: Edit, Copy, Preview (as a PDF), "Check layout for postal delivery" and Set as default (★). The quickest way to create your own template is to copy a system template.

The same management for the other document types

The "Templates" area carries four document types, each with its own template list and the same editor: invoices, cancellations, quotes and order confirmations. What this article says about invoice templates applies to the other three just as well.

  • The default template applies per document type and language. Making a German cancellation template the default therefore changes neither the English one nor your invoices.
  • System templates cannot be set as the default directly – copy one and make the copy the default. That keeps the shipped version as a fallback.
  • A template that is currently the default cannot be deleted. Make another one the default first – or choose "Reset to system template".

What you can design

  • Logo and background – your own template logo or a full-page stationery design
  • Colors – primary and secondary color for headings and accents
  • Typography – font family and size, optionally with your own corporate typeface (see below)
  • Page format – format and orientation
  • Line-item table – which columns appear in which order
  • Free-form editor – place text, image, table and line elements freely, including visibility conditions and a tax breakdown

Using your own fonts

Alongside the bundled system fonts you can upload your corporate typeface and select it in your templates. The font picker in the editor lists system and account fonts together, with the upload right beside it.

  • Permitted formats are TrueType, OpenType and WOFF2 files up to 5 MB. Kyvento determines the actual file type from the content rather than the extension and runs every file through a virus scan – if either check fails, the upload is rejected.
  • Uploaded fonts apply to your account only and are available for every document type – invoices, quotes, dunning letters and postal dispatch all render with the same typeface.
  • Mind the licence of your font: it must permit embedding in PDF documents. Kyvento cannot verify this.
  • If you later replace a font with a new version, existing templates keep their assignment – there is no need to set them up again.

The default layout

Without any customization, Kyvento provides a DIN 5008-compatible layout: a recipient field for the window envelope, your logo with company name, address and VAT ID, a metadata block (invoice number, date, due date, customer number), the line-item table, a totals block showing tax and credit, plus a footer with your bank details.

Where the logo comes from

You maintain your central company logo under "Settings" → "Account" – it appears automatically on all documents that don't have their own template logo. The "Branding" tab, by contrast, only affects the appearance of the customer portal, not the PDF documents.
